Privacy policy

Last updated October 5, 2026

FTW Suite is a set of freight calculators run by Freight Tech Works LLC (“we” and “us”). This policy says what FTW Suite collects about you, why, who else sees it, how long it is kept, and what you can ask us to do with it. It covers FTW Suite at app.freighttechworks.com and the email you send us about it.

The short version

  • We collect what we need to sign you in and run the tools: your name, your email address and the organizations you work in.
  • What you type into a tool is used to answer it and is not kept unless you save it, apart from the ZIP codes or USDOT numbers our server’s log records for some lookups.
  • We do not sell your information, show you ads, or use analytics or tracking cookies.
  • A few companies run parts of FTW Suite for us, and each gets only what its part needs.
  • Write to info@freighttechworks.com to see, correct or delete what we hold about you.

What we collect

Your account

You sign in through WorkOS, which runs our sign-in page. When you sign in, WorkOS tells us your name, your email address, an account ID, the organizations you belong to and your role in each, and we record when you last signed in. Your password and the codes WorkOS sends you stay with WorkOS: we never see or store them. If you sign in with another account, such as Google, that provider shares your name and email address with WorkOS.

Your organization

We keep your organization’s name, its plan, and when its subscription ended, if it has. If you use FTW Suite on your own, your organization is named after you, by your name or, if WorkOS has none, your email address, until you buy a plan for it, when it takes the company name you type at checkout. An administrator can invite colleagues from the People page by typing their email addresses, and WorkOS sends the invitations. Everyone in an organization can see who else belongs to it, with their name, email address and role and when they last signed in.

What you type into the tools

Each tool works out its answer on our server. Neither what you typed nor the answer is kept once the page reaches you, unless you save it or our server’s log records part of it, as described under Technical information below. Two kinds of entry leave our server to get an answer:

  • ZIP codes, and map coordinates for them, go to Google to find road miles and, for a ZIP our own data lacks, where it is. Nothing that identifies you goes with them.
  • A USDOT number you look up goes to the Federal Motor Carrier Safety Administration (FMCSA). The carrier record it sends back is public, and we keep it for up to six hours so that a repeat lookup is quick.

We count the mileage lookups you make each day, to apply your daily limit.

Saved work and company defaults

When you save a quote, a bid sheet or a route, we keep what you typed into the form, the name you give it, and who saved it and who last changed it. We never keep the answer, and never the miles Google returned. Saved work belongs to your organization, and everyone in it can open it. An administrator can set company defaults, figures that fill in the tools for everyone in the organization, and we record who last changed them.

Your preferences

We keep the colour theme you choose in Settings and the tools you pin to your dashboard.

Billing

When your organization pays for FTW Suite, Stripe takes the payment. Your card details go to Stripe, and we never see them. Stripe sends us records of the purchase, the subscription and its payments, which can include the billing contact’s name, email address and billing address, the company name typed at checkout and any tax ID given there. We send Stripe a reference to your FTW Suite account, so that the payment reaches it, and keep the identifiers Stripe gives your organization as a customer and its subscription.

Technical information

As with any website, each visit sends your IP address and details of your browser. Cloudflare, which carries traffic to FTW Suite, and Render, which hosts it, receive them and keep their own logs. FTW Suite itself records no IP addresses and no page views.

Our server’s log records sign-ins and account changes, with the email address involved, and errors. Some mileage and carrier lookups, mostly ones that fail, record the ZIP codes or USDOT number involved.

When something breaks, we send an error report to Sentry: which page failed, when, and where in our code. A report can carry an internal ID for your account or organization and, for a failed mileage lookup, a ZIP code, but never your name, your email address, your IP address, your cookies or the rest of what you typed.

Email you send us

If you write to us, we keep your message and our reply in our email, which runs on Google Workspace.

Cookies

FTW Suite sets only the cookies it needs to sign you in and to protect its forms. It sets no analytics or advertising cookies, stores nothing else in your browser, and loads nothing from other websites. Because every cookie here is needed for the site to work, there is no cookie banner, and blocking them stops you signing in.

wos_session
Keeps you signed in. It holds your sign-in session from WorkOS, encrypted. It lasts 30 days and is removed when you sign out.
sessionid
Ties your browser to your session on our server. It lasts two weeks.
csrftoken
Stops another website from submitting FTW Suite’s forms as you. It lasts a year.
messages
Carries a one-time notice to the next page, such as one confirming a change you made. It is removed once the notice is shown, or when you close your browser.

WorkOS’s sign-in page sets its own cookies, under WorkOS’s privacy policy. Cloudflare may set a cookie that helps it tell people from automated traffic.

How we use it

  • To sign you in, and to keep your account and organization in step with WorkOS.
  • To run the tools, apply your plan and its daily limits, and keep your saved work.
  • To bill your organization.
  • To answer you when you write, and to tell you about your account, the service and changes to this policy.
  • To find and fix errors, and to keep FTW Suite secure.

We do not sell or rent your information, use it for advertising, or share it for anyone’s marketing, and we send no marketing email.

Who we share it with

Only with the companies that run parts of FTW Suite for us, each limited to what its part needs:

  • WorkOS, for sign-in and accounts: your name, your email address and your organization memberships, the company name typed when your organization buys a plan, and the email addresses of the people an administrator invites.
  • Stripe, for payments: the billing details you give it, and a reference to your FTW Suite account.
  • Google, for mileage and locations through the Google Maps Platform: ZIP codes and map coordinates, with nothing that identifies you. FTW Suite includes Google Maps content, and Google’s use of what it receives is covered by the Google Privacy Policy.
  • FMCSA, for carrier lookups: the USDOT numbers you look up.
  • Render, for hosting: everything FTW Suite keeps, in its database and logs.
  • Cloudflare, for the network and its security: your IP address and browser details, as each page passes through.
  • Sentry, for error reports, as described above.
  • Google Workspace, for our email.

To show the week’s diesel price, we also ask the U.S. Energy Information Administration, and that request carries nothing about you.

Inside your organization, your colleagues see your name and email address on the People page and beside the work you save.

We may also disclose information when the law requires it, to protect someone’s safety, or as part of a sale or merger of the business, in which case this policy keeps applying to it.

How long we keep it

  • Your account: as long as you have one. If your account is closed or you leave an organization, your access ends, and we delete your details when you ask us to.
  • Saved work: until the person who saved it or an administrator deletes it, which takes effect at once, with no trash, and in any case 30 days after your organization’s subscription ends.
  • Company defaults: until an administrator changes them, and in any case 30 days after your organization’s subscription ends.
  • The records of account changes WorkOS sends us: 90 days.
  • Billing records: as long as accounting and tax rules require.
  • Daily lookup counts: as long as your account exists.
  • Logs and error reports: for the limited time our host, Cloudflare and Sentry keep them.
  • Email: as long as we need it to help you.

Deleted information can stay in our host’s backups for a short time, until they are replaced.

Your choices

You can ask us to show you, correct, export or delete what we hold about you. Write to info@freighttechworks.com from the address on your account, and we will answer within 30 days. If we delete your account, we also take your name off the work you saved.

Saved work and company defaults belong to your organization rather than to you, so they stay with it when you leave. You can delete anything you saved from the Saved work page, and an administrator can delete anything the organization saved and change its company defaults.

We do not sell or share personal information as US state privacy laws define those words, and we do not use it for targeted advertising, so there is nothing to opt out of. FTW Suite treats a visit that sends a Global Privacy Control or Do Not Track signal the same as any other.

Security

FTW Suite is served only over HTTPS. We store no passwords, since WorkOS handles sign-in. The cookie that keeps you signed in is encrypted, every saved item is kept to its own organization, and error reports are stripped of personal details before they leave our server. No system is perfectly secure, and if a breach affects your information, we will tell you as the law requires.

Children

FTW Suite is a business tool for adults. It is not meant for anyone under 18, and we do not knowingly collect information about children.

Where it is kept

FTW Suite is hosted in the United States, and what it keeps is stored there. The companies listed above may process information in other countries, under their own safeguards.

Changes to this policy

When we change this policy, we will post the new version here with a new date. If a change affects what we collect or whom we share it with, we will tell you by email or in FTW Suite before it takes effect.
